This Privacy Policy explains how Veritium Support Services ("Veritium", "we", "us", or "our") collects, uses, discloses, stores, and protects personal data when you visit veritium.co.uk, contact us, use our services, or connect a third-party account (such as LinkedIn) to a service we operate or integrate with on your behalf.

We are committed to protecting your privacy and handling your personal data in an open and transparent manner, in accordance with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018, and the Privacy and Electronic Communications Regulations 2003 (PECR).

1. Who we are (Data Controller)

Veritium Support Services is the data controller responsible for your personal data. You can contact us about this policy or about your personal data using the details below:

2. Scope of this policy

This policy applies to:

  • Visitors to our website and people who contact us or request our services;
  • Users of any application, tool, or integration operated or configured by Veritium — including our social media publishing integration that connects scheduling tools (such as Postiz and Dynamize) to LinkedIn on your behalf; and
  • Business contacts, suppliers, and partners we deal with.

3. Personal data we collect

Depending on how you interact with us, we may collect and process the following:

3.1 Information you provide to us

  • Identity and contact data — name, business name, email address, telephone number, and postal address.
  • Enquiry and communication data — the content of messages you send us through forms, email, or telephone.
  • Service data — information you share with us so we can deliver our consultancy and technical services.

3.2 Information we collect automatically

  • Technical data — IP address, browser type and version, device information, and operating system.
  • Usage data — information about how you use our website, collected via cookies and similar technologies where you have consented (see Section 11).

3.3 Information from the LinkedIn integration

When you authorise our integration to connect your LinkedIn account (for example, so that a scheduling tool such as Postiz or Dynamize can publish or schedule content on your behalf), we access only the data permitted by the scopes you approve during LinkedIn's authentication (OAuth 2.0) process. This may include:

  • Basic profile data — your LinkedIn member ID, name, and profile picture (via the openid / profile scopes).
  • Email address — the primary email associated with your LinkedIn account, only where you grant the email scope.
  • Content publishing permission — the ability to create and share posts on your behalf (via the w_member_social scope), including the text, images, links, and scheduling details of the posts you choose to publish.
  • Access and refresh tokens — secure credentials issued by LinkedIn that allow the integration to act on your behalf without storing your LinkedIn password.

We never receive or store your LinkedIn password. Authentication is handled entirely by LinkedIn. We only ever request the minimum permissions needed to provide the service you have asked for.

4. How and why we use your data (legal bases)

Under the UK GDPR we must have a lawful basis for processing your personal data. We rely on the following bases:

  • Consent — when you authorise the LinkedIn integration, subscribe to updates, or accept non-essential cookies. You can withdraw consent at any time.
  • Contract — to provide the services you have requested and to manage our relationship with you.
  • Legitimate interests — to operate, secure, and improve our website and services, and to respond to your enquiries, provided these interests are not overridden by your rights.
  • Legal obligation — to comply with applicable laws, including accounting, tax, and regulatory requirements.

We use your personal data specifically to:

  • Respond to enquiries and provide our consultancy and technical services;
  • Authenticate you with LinkedIn and publish or schedule the content you have chosen to post;
  • Maintain the security and integrity of our systems and detect and prevent fraud or misuse;
  • Comply with our legal and regulatory obligations; and
  • Send you service-related or marketing communications where you have consented or where we are otherwise permitted to do so.

5. The LinkedIn integration in detail

Our LinkedIn integration exists solely to enable authorised social media scheduling and publishing tools (such as Postiz and Dynamize) to post content to LinkedIn on your behalf. We want to be clear about how this works:

  • Purpose limitation. LinkedIn data is used only to publish, schedule, and manage the content you explicitly ask us to post. We do not use LinkedIn data for advertising, profiling, resale, or any purpose unrelated to the service you requested.
  • No sale of data. We do not sell, rent, or trade LinkedIn data, or any other personal data, to third parties.
  • Data minimisation. We request only the scopes required to deliver the publishing function, and we store only what is necessary to keep your connection active.
  • Secure token storage. Access and refresh tokens are stored using industry-standard encryption and are transmitted only over encrypted (HTTPS/TLS) connections.
  • Revoking access. You can disconnect the integration at any time and revoke our access directly from your LinkedIn account under Settings & Privacy → Data privacy → Other applications → Permitted services. You may also email us to request disconnection and deletion of your stored tokens.
  • Compliance with LinkedIn. Our use of LinkedIn data complies with the LinkedIn API Terms of Use, the LinkedIn Platform Guidelines, and LinkedIn's Privacy Policy. Your use of LinkedIn remains subject to LinkedIn's own terms and privacy policy.

6. Sharing your data

We do not sell your personal data. We may share it only with:

  • Service providers and sub-processors — trusted third parties who provide hosting, infrastructure, email, analytics, and the scheduling tools (such as Postiz and Dynamize) that deliver the service, acting on our instructions under written agreements.
  • LinkedIn — where you have authorised the integration, we send your content to LinkedIn via its official API so it can be published to your account.
  • Professional advisers and authorities — where required to comply with a legal obligation, court order, or lawful request, or to protect our rights.

7. International transfers

Some of our service providers may process data outside the United Kingdom. Where this happens, we ensure appropriate safeguards are in place, such as an adequacy decision by the UK Government or the use of the UK International Data Transfer Agreement (IDTA) or the International Data Transfer Addendum to the EU Standard Contractual Clauses.

8. Data retention

We keep personal data only for as long as necessary for the purposes for which it was collected, including to satisfy any legal, accounting, or reporting requirements.

  • Enquiry and contact data — retained for as long as needed to respond and for a reasonable period afterwards.
  • LinkedIn tokens and integration data — retained only while your account remains connected. When you disconnect the integration or revoke access, we delete the associated tokens and stored connection data promptly.
  • Legal and financial records — retained for the period required by applicable law.

9. How we protect your data

As a security-focused organisation, we apply appropriate technical and organisational measures to protect your personal data against unauthorised access, loss, alteration, or disclosure. These include encryption in transit (HTTPS/TLS), encrypted storage of sensitive credentials, access controls, and regular review of our security practices. No method of transmission or storage is completely secure, but we work continuously to protect your data.

10. Your rights

Under the UK GDPR, you have the right to:

  • Be informed about how your data is used;
  • Access a copy of the personal data we hold about you;
  • Request correction of inaccurate or incomplete data;
  • Request erasure of your data ("right to be forgotten");
  • Restrict or object to our processing of your data;
  • Data portability — to receive your data in a portable format;
  • Withdraw consent at any time, where processing is based on consent; and
  • Not be subject to solely automated decisions that produce legal or similarly significant effects.

11. Cookies and similar technologies

Our website uses cookies and similar technologies that are strictly necessary for it to function. Where we use non-essential cookies (for example, analytics), we will only do so with your consent. You can control cookies through your browser settings and, where offered, through our cookie preferences.

12. Third-party links

Our website and services may contain links to third-party websites and platforms, including LinkedIn. We are not responsible for the privacy practices of those third parties, and we encourage you to review their privacy policies.

13. Children's data

Our website and services are not directed at children, and we do not knowingly collect personal data from anyone under the age of 18.

We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last updated" date at the top of this page and, where appropriate, notify you. Please review this page periodically.
